The Commodore Rental Policies

We value our customers and wish to express our appreciation for your business. Our rental policies and practices enhance our ability to offer quality accommodations and hospitality services.


Family Oriented Vacation Accommodations

All our vacation properties and accommodations are family-oriented rentals ONLY. NO unit will be rented to vacationing students or young adults under 25 years of age if unaccompanied by a parent. We require one (1) parent for every four (4) persons under the age of 25. A parent must be present at check-in and must remain in the property during the length of stay. Our rentals are monitored for violation of this policy. All violators will be evicted, and all rental payments and/or security deposits will be automatically forfeited. Reservations made under false pretenses are null and void and check-in will not be allowed. This policy includes reservations made by parents who do not check-in, and/or who leave overnight during the length of the stay. THIS IS A STRICT POLICY AND ABSOLUTELY NO EXCEPTIONS ARE ALLOWED!

Booking

When making a reservation, there is a $250.00 deposit per reservation. If you book more than one week an additional deposit may be required.  i.e. if you book 2 consecutive weeks, your deposit will be $250 per week ($500).  If you book online for 2 weeks, the program will charge you $250.00, you  may be contacted to pay the additional deposit. Reservations made under false pretense of any type or kind will result in the automatic forfeiture of all deposits, rental payments, fees, and immediate cancellation of your previously confirmed reservation. The remaining balance is payable in full One week (7 days) prior to the arrival date.

Occupancy Limits

Florida State Licensing Regulations require occupancy limits based upon square footage of the unit and sleeping accommodations. Therefore, the number of guests must not exceed 6 (six) (including all children). In the one bedroom units the maximum occupancy is 4 People. Guests who exceed maximum occupancy listed here in or in the property description are subject to immediate eviction and forfeiture of all rental payments and deposits. If the occupancy limits are exceeded, then guests will be asked to check out and full deposit and rental fee will be forfeited. NO EXCEPTIONS.

Admin Fee

A non-refundable $60 admin fee will be charged on all reservations. The fee includes and covers reservation processing. This is a one time fee added to the total. All reservations will be charged this fee.

Check-in/Check-out

You will NOT be allowed to check-in until we receive your signed
acknowledgment of our rental policies and our health and safety waiver. Check-in time begins after 3:00 P.M. Local Time. In some instances, access to your property may be unavoidably delayed due to cleaning or maintenance scheduling circumstances beyond Venture Out Vacations control. There will be no discounts, credit, or refunds offered due to a late check-in or delays in check-in. Your patience is appreciated in these circumstances. Early check-in may be available for an additional fee, but due to cleaning and inspection schedules (particularly during the summer season) will require special arrangements and a minimum of 48 hours advance notice. Early check in is not guaranteed and not available in high season (June, July and Holiday weekends)

Check-out time is no later than 10:00 A.M. Local Time. Late check-outs may be available for an additional fee; however, late check out is not available in the high season (June, July, Holiday weekends). Arrangements and a minimum of 48 hours advance notice is required.

Check-Out Instructions:

  • Check-out time is 10am on the final day of your reservation.
  • Please clean all dirty dishes, pots, pans, silverware, etc. prior to your departure and put them back in place.
  • If your unit has a dishwasher put all CLEANED items back where they belong. Do not leave dirty dishes in the dishwasher.
  • Do not make the bed(s). Remove all used sheets, pillowcases and place in the provided bag and leave in the bathroom.
  • Remove all trash from your unit and take to the trash shoot at the end of the hall/floor
  • All furniture, fixtures, and personal property should be returned to its original position.
  • Special arrangements must be made in advance if you need a later checkout time. You could be charged $50 for each half hour late.

Cleaning Fee

All our vacation rental properties require a one-time departure clean fee to be paid by the guest to cover the cost of normal cleaning. This cleaning fee is required on daily, weekly and monthly reservations. If you are staying more than one month in the same property, the cleaning fee will only be charged on the first month of your stay. A mid-week clean can be provided for an additional fee. All fees are subject to state and local sales tax. We make every effort to insure each of our properties are cleaned after each guest checks out. IF YOU HAVE ANY HOUSEKEEPING ISSUES OR PROBLEMS, PLEASE REPORT THESE ISSUES TO THE VENTURE OUT VACATIONS TEAM WITHIN 24 HOURS OF CHECK-IN TIME SO THAT WE MAY PROMPTLY ADDRESS ANY HOUSEKEEPING ISSUES. NO DISCOUNT, CREDIT, AND NO REFUND WILL BE GIVEN DUE TO HOUSEKEEPING ISSUES.

Pets

In ALL of our properties pets are strictly forbidden. Having a pet in a property is grounds for immediate eviction without a refund. The only exception is for ADA (American Disabilities Act) qualified animals. Additional information upon request. We must be notified of a service animal and prior arrangements will need to be made with Venture Out Resort and us. Guests are subject to forfeiture of their deposit/rent and immediate eviction if previously undisclosed animals/pets are found on property.

Parking Regulations/Resort Registration

Parking. Strict parking limits apply per property, per Owner Association rules. Rental guests are allowed no more than 1 vehicle per 1 bedroom unit and 2 vehicles per 2 or 3 bedroom units. Parking is very limited in the resort.

Resort registration fee is $40 and is added in with your reservation total. We collect it and pay it to The Commodore on your behalf.

The resort Registration Fees are determined by a Board of Directors and are subject to change at their discretion.

Internet

All of our units have internet access through their individual service providers. However, we do not and cannot guarantee internet connectivity or access due to service being provided by an outside third-party vendor, restrictions placed on such Internet services by/from personal computers, differing connectively specifications, and additional factors that may lead to interruption, failure, or unavailability of internet service. If you decide to access any Internet content during your stay, you do so entirely at your own risk and you assume and are responsible for ensuring that any/all accessed material or content does not infringe the laws governing, but not exhaustively covering, copyright, trademarks, pornography, or any other material which is slanderous, defamatory or might cause offense in any other way. You further agree to be responsible for liability for breach of intellectual property laws or other claims made by or on behalf of any owner of online content.

Rates

Published rental rates are subject to change without notice. We expressly reserve the right to correct rates that may have been misquoted due to human error, negligence, or computer error. Rates for the next season are set up after Labor Day every year. If you reserve a unit for the following year (i.e. book for summer of 2022 in summer of 2021) the new rates are not set yet and if they change your reservation will be updated with the new rates.

Keys

Your unit will be open and clean upon arrival. Upon departure leave the keys in the unit and the door unlocked. Our cleaners will be in immediately to clean the unit. There will be a $25.00 charge per key that is not left in the unit. This will be billed to the credit card on file for your reservation. If your unit has keyless entry, it will be locked and your code will be provided to you once the unit is ready for occupancy.

Cancellation Policy

All cancellation request must be submitted in writing, email is preferred. The guest is required to and must notify Venture Out Vacations of the guest’s request to cancel a reservation within the time periods defined below, time being of the essence (herein a “Cancellation Request”).

30 Days or More Before Check-In. In the event we receive a Cancellation Request at least  thirty (30) days or more before the scheduled Check-In Date, we will keep the following fees and charges: $100.00 Service fee. We will issue a refund to the guest in the amount of:
the balance of funds held by Venture Out Vacations for the reservation. Cancellation request 16-29 days from the reservation will forfeit the full deposit payment of $250.00.

15 Days Before Check-In. In the event we receive a Cancellation Request at least fifteen (15) days before the scheduled Check-In Date, we will keep the following fees and charges: the service fee, plus fifty-percent (50%) of total rent for the reservation or the full deposit whichever is greater, together with all applicable taxes. The foregoing fees/taxes are referred to herein as the “Early Term Fee” and will be retained by Venture Out Vacations. We will issue a refund in the amount of: the balance of funds held by Venture Out Vacations for the reservation, less
the total of the Early Term Fees. If you have not paid the 50% by this time it will be charged to your card on file.

“Cleaning Fee Only” Refund (Less Than 7 Days Before Check-In). With exception of any prepaid cleaning fee(s) collected by us for the reservation, no refunds will be given in any event your Cancellation Request is received less than seven (7) days before Check-In Date,
including “Last Minute” reservations. All reservations must be paid in full a minimum of 1 week (7 days) before arrival date.

b. All refunds will be issued via a check and mailed to the address we have on file for the guest.

c. There will be no refunds given for any reason on or after Check-In Date.

Substitutions:
If the property you have booked is removed from the rental program or if extraordinary circumstances render the property uninhabitable, Venture Out Vacations reserves the right to substitute a comparable property. If comparable accommodations are not available, then Guests may choose from available properties at the published rates or request a refund.

Linens

Fresh professionally cleaned linens are provided. Sheets, pillowcases, towels, hand towels and wash cloths are provided.

Good Housekeeping

Refrigerator: Please do not overload the refrigerator with can drinks. Please do not reset the refrigerator setting to a low setting for a “quick cool” for can drinks. This can cause problems with the refrigerator and restricts the refrigerator from cooling properly. If a service repairman is required, then the charges will be deducted from the guest’s security deposit. DO NOT PLACE ANY BAIT, UNWRAPPED FISH OR SHRIMP IN THE REFRIGERATOR.  BAIT IS TO BE KEPT IN OUTSIDE COOLERS. 

In sink garbage disposal: (when provided) Please use the garbage disposal sparingly. It is not intended for large quantities of trash. If the disposal gets clogged up due to over use or unintended use the renter will be responsible for the repair charges.

Washer/Dryer: Please thoroughly shake out the sand from beach towels and swimsuits before washing/drying them in the washing machine. Sand causes problems in washer/dryers and a repairman may be required. The charges will be deducted from the security deposit.

Supplies: A starter supply of trash liners, bathroom paper and paper towels are included with each unit. However, guests will need to provide their own laundry detergent, additional paper products and household supply items for their stay.

Trash Disposal: Please place trash in trash bags and take to the trash shoot located at the end of the corridor for your floor. An additional charge may be placed on your card for any trash left in the unit. IN ADDITION, PRIOR TO CHECK-OUT, ALL FOOD, DEBRIS, AND GARBAGE ARE TO BE DISPOSED.

Owner Closets & Storage Areas:
Many homes have locked owner’s closets or cupboards for the owners’ personal items. Also, some storage areas are locked and are not available for guest use. Please respect these areas and do not attempt to open them.  Any tampering will result in a charge against your security deposit.

The unit must be left in good condition. All soiled dishes must be washed in the dishwasher or by hand prior to departure. Venture Out Vacations reserves the right to retain partial or full security deposit for carpet cleaning or additional housekeeping services due to guest’s lack of care or respect for privately owned properties. Please treat the property with care and the neighbors with courtesy.

Hospitality Code

No Smoking or Vaping. All of our properties are “Non-Smoking” properties. Smoking/Vaping is strictly prohibited in all our properties. Guests will be financially responsible and liable for any/all damages and additional cleaning and repair/replacement costs due to smoking in the property.

Maximum Number of Guests. Limited to six (6) guests per property. In one bedroom units the maximum occupancy is 4 People. Guests who exceed maximum occupancy listed here in or in the property description are subject to immediate eviction and forfeiture of all rental payments and deposits.

No Subletting

The rental agreement has been made between the responsible party and Venture Out Vacations. The agreement is not transferable to another person/party/friends or family. The person making the reservation is the responsible party and MUST BE AT LEAST 25 YEARS OF AGE. This person also acknowledges all policies and procedures of Venture Out Vacations and Resort Property rules and regulations governing the use of vacation property, resort property and it amenities. The responsible person must check-in and check-out with on site resident managers.

Rental Payment Policy

In addition to the rental rate, an additional fee  (depending on unit) condo cleaning fee, will be charged. A 12% Florida tax is added to the invoice. Method of payment can be made by Visa, Mastercard, or Discover debit or credit. If you would like to make payments after your initial $250.00 deposit so that your unit is paid off by time of arrival we are happy to do that. There is a $5.00 charge for each partial credit card payment.  The rate information provided, though deemed accurate, is not guaranteed. It is subject to errors, omissions, change of price or withdrawal without notice.

Reservation/Security Deposit

A reservation/security deposit of $250 per week is due upon booking a reservation. A reservation may be held with a Visa, Master Card, Discover.

Severe Weather

We do not refund rents due to shortened stays because of weather.

Smoking

No Smoking or Vaping. All our properties are “Non-Smoking” properties. Smoking/Vaping is strictly prohibited in all our properties. Guests will be financially responsible and liable for any/all damages and additional cleaning and repair/replacement costs due to smoking in the property.

Swimming Pool and Beach

During your stay, please familiarize yourself with The Commodore rules, policies and practices concerning the beach, swimming pools and recreational facilities and resort amenities. Safety: It is the guest’s responsibility to learn about safety precautions, warning signs of water conditions, and safety procedures concerning swimming in the ocean and pools. A new city-wide ordinance has been implemented, it is called the “Leave no Trace”  ordinance. Basically it states that all personal items carried to the beach must be removed every evening.  Any items left behind on the beach after 7:00pm may be removed and disposed of (this is a city law).

Maintenance

All equipment in each property should be in working order when you check in, but things do break down unexpectedly. During your stay, please promptly report upon discovery any maintenance problems to Venture Out Vacations. Do not leave doors or windows open while the A/C or heater is operating. Venture Out Vacations staff may enter the property to respond to any maintenance and/or housekeeping issue(s) during your stay without prior notification. Housekeeping or maintenance problems will not be addressed at check-out or after you return home. Venture Out Vacations cannot be held accountable for problems we are not aware of, so please notify our team of mechanical failures as they occur. When you report a problem, you can expect a courteous and professional attitude and we will make every reasonable effort to resolve the problem promptly. Please understand that emergencies take precedence.

No refund or rate adjustment will be made for unforeseen maintenance issues or system failures such as air conditioning; television, cable, or internet service; resort amenities. or appliances, etc.

Furnishings

Our rental properties are privately owned. The placement of items, furnishings, and/or mattress comfort levels is the arrangement preferred by the owner. No refunds or rate adjustment will be given due to owners’ choice of furnishings, fixtures, or equipment.  Furniture and items in the unit are not to be rearranged or removed from the property. Additional charges may be incurred as a result of rearrangement or removal of furniture or items.

Construction

Venture Out Vacations cannot predict construction plans in the area and therefore cannot be held responsible for any inconvenience arising from or related to construction in the area. No refunds can be given in the event of construction nearby the rental property.

Security of Personal Property

Venture Out Vacations is not responsible for any acts of theft or vandalism, or other damages to any personal property or for personal items left by guests in the property at departure. Venture Out Vacations is not responsible for and has no obligation to store/keep personal property found in a rental property by our staff, and VOV may dispose of such property without notice, consent, delay, or liability. If personal property is left behind and you promptly request return of these items before they are disposed of, the property will be returned at your expense plus a $20.00 handling fee.

Good Neighbor Policy

We respectfully request that you remember you are staying in someone’s home during your vacation stay. Please treat the home and all its furniture, fixtures and contents with care and leave it in good condition at check-out. Damages to the owner’s property will result in additional charges to your account or payment-type on file with Venture Out Vacations. Many homes have locked owner’s closets or cupboards for the owners’ personal items. Also, some storage areas are locked and are not available for guest use. Please respect these areas and do not attempt to open them. Any tampering will result in additional charges.

Property Rules and Regulations

Please observe all rules and regulations (including all owner association rules and local/state ordinances) governing the use and occupancy of the property you are occupying. These rules apply to both owners and guests, and failure to comply can result in immediate eviction and/or fines from the association. You are responsible for any fines assessed due to conduct in violation of association rules/regulations. No refunds or credit will be given in the event of eviction due to failure to comply with rules and regulations applicable to the property or the community wherein the property lies.

Agent for Owner

Venture Out Vacations serves as the agent for the owner of the rental property.

Waivers/Agreements

You will NOT be allowed to check-in until we receive your signed acknowledgment of our rental policies and waivers.
